Thank you for your interest in becoming a food vendor at the Lotus World Music & Arts Festival 2016’s Food Truck Village. We are looking forward to assembling some of the finest street vendors from across the Midwest to further enrich the Lotus Festival.

This year will mark the 23rd year of the Lotus Festival and the 2nd year where we are inviting food trucks to the event. Annually, the festival attracts more than 12,000 people to downtown Bloomington for 4-5 days of music and arts from around the globe. This year’s festival will be from Thursday September 15 to Sunday the 18th, with Food Trucks present on Friday the 16th and Saturday the 17th.

Selected food and beverage vendors at Lotus 2016 have the opportunity to showcase their business to a captive audience of over 5,000 people per day. Participating vendors also have the added value of market branding provided through our website and promotional materials. Our goal is to present a diverse, eclectic array of food and beverage choices that highlight the wonderful culinary minds of the Midwest. As a world music and arts festival, we are also interested in having the cuisine represent a variety of cultures and inspirations.

This year, we are excited to partner with Chef David Tallent as the Lotus Food Truck Village Curator. Chef Tallent will be working closely with the Lotus team to review the vendor applications and ultimately decide who represents the 2016 Food Truck Village.

We expect another year of capacity crowds, and are searching for the most respected and admired food and beverage vendors the region has to offer to provide a culinary selection that echoes the multicultural, globally-inspired spirit of Lotus.

We have put together some general vendor information for your convenience below. Please read all of the below as it will outline the information you need to know prior to filling out an application. If you are selected as a 2016 Lotus Food Truck Village vendor, a more comprehensive “Festival Vendor Information” packet will be provided to give the specifics.

Note: Vendors who have previously been a part of Lotus Food Truck Village are not guaranteed selection in 2016. We will also determine exact booth location at our discretion.

Required items will include:

  • Copy of current Health Inspection (certificate must be dated 2016). Please request an inspection as soon as you receive notification of your selection.
  • Certificate of Insurance
  • Copy of Sales Tax and Use Permits.
  • Final signage requests (last opportunity to make changes to menu offerings).

MENU SELECTION & SALE POLICIES

As part of the selection process, vendors will be asked to present 3-4 individually priced, unique menu choices. Vendor food and beverage items should be able to be prepared and served quickly — and efficiently — in order to accommodate the high demand in the Food Truck Village.

Lotus’s goal is great food, friendly service, and low patron waiting time.

Selected vendors will only be permitted to sell items approved by Lotus. We also reserve the right to remove specific items from your menu in accordance with our policies listed in the selected vendor’s packet. Non-beverage vendors are not permitted to sell or give away any beverages, including water.

Vendors may not sell any other non-food or beverage items without prior written consent from Lotus.

FEE STRUCTURE

Based on the booth category, there is a set flat fee due July 8th, along with the rest of the required paperwork. This fee covers the site fee and all marketing and promotion that Lotus will provide leading up to the festival. All Point of Sales (POS) hardware must be provided by the vendor. Lotus is not liable for any transaction insurance.

Payment is due on July 8th in the form of ONE check. This will include your site fee and refundable security deposit. Upon the completion of the Festival, Lotus will refund each participating vendor for their deposit.

BOOTH CATEGORIES & PRICES

There are TWO event opportunities to participate as a Lotus vendor. We are mandating that you apply for only one of these opportunities. This is to prevent capacity and food prep issues that come with working both events. They are two distinct concert events, so plan according to the audience you want to serve.

1. Evening Concert Showcase, 6pm to 12am, Friday and Saturday

Vendors applying for the Evening Concert Showcase should expect to participate on both Friday AND Saturday nights.  Concerts will be hosted in a mix of indoor and outdoor downtown-Bloomington venues with more than 4,000 ticket-holders in attendance each night. In addition to the concertgoers, the FTV is accessible to the general public so there is potential for an even larger group of customers to sell to. With concerts constantly starting and ending, there is a consistent stream of business throughout both evenings.

2. Lotus In The Park, 11am to 4pm, Saturday

This Event is a free event in a city park that hosts over 2,500 individuals of all ages. The event is traditionally enjoyed by many families that may not attend the evening concerts, so having cuisine options for children is necessary.

Pricing: Evening Concert Showcase:

  • Food Entrée, $400 Fee + $100 Refundable Security Deposit = $500
    A minimum of 3, and a maximum of 4, entrée items are permitted to be sold. Food Entrée vendors are not allowed to sell beverages of any type.

 

  • Dessert/Snack, $200 Fee + $100 Refundable Security Deposit = $300
    A minimum of 1 and a maximum of 3, dessert or snack items may be sold. For example: ice cream, sno-cones, pie, etc.

 

  • Beverage, $150 Fee +$ 100 Refundable Security Deposit= $250
    A minimum of 1 and a maximum of 3 beverage items may be sold. Non-Alcoholic beverages only. For example: lemonade, coffee drinks and speciality beverages. Soft drinks, of any brand, are not permitted.

 

Pricing: Lotus In the Park:

  • Food Entrée, $200 Fee + $100 Refundable Security Deposit = $300
    A minimum of 3, and a maximum of 4, entrée items are permitted to be sold. Food Entrée vendors are not allowed to sell beverages of any type.

 

  • Dessert/Snack, $100 Fee + $50 Refundable Security Deposit = $150
    A minimum of 1 and a maximum of 3, dessert or snack items may be sold. For example: ice cream, sno-cones, pie, etc.

 

  • Beverage, $75 Fee + $50 Refundable Security Deposit= $125
    A minimum of 1 and a maximum of 3 beverage items may be sold. Non-Alcoholic beverages only. For example: lemonade, coffee drinks and speciality beverages. Soft drinks, of any brand, are not permitted.

 

GENERAL VENDOR RULES & REGULATIONS

Selected Food and Beverage Vendors may only sell pre-approved items.

Signage: Our Creative team designs and produces the signage for all booths, ensuring a unified, professional and visually appealing experience. The booth name (no tag lines, or other graphics), the company logo, the menu item and price are featured on a colorful banner. The simpler, the better.

Sustainability Efforts: Lotus and our supporters strive to minimize our impact on the environment and we look for vendors with the same goal in mind. By using eco-friendly paper products and cutlery (or serving items that don’t require cutlery), for example, each vendor will make a huge difference. We prioritize locally sourced and sustainably grown foods. We prefer all service items to be compostable in order to limit landfill waste.

Please consider the following when preparing for the festival:

  • All dry good products (including cutlery, cups, straws, food wraps, napkins, etc.) served in biodegradable / certified compostable products;
  • No Styrofoam or single-use bags;
  • No “picnic packs” (utensils, salt, pepper in packets, condiments);
  • No toxic cleansers

We encourage vendors to source product and supplies locally.

Trash & Recycling: Lotus will provide all trash and recycling receptacles and service throughout the weekend for customers. Each vendor is required to maintain their own waste and dispose of it appropriately.

Power: The appropriate lighting for the site of the Food Truck Village will be provided by Lotus. All vendors are required to provide their own form of power (i.e. generator) for truck, prep, and serving operations.

NOTE: Lotus is a rain or shine event. Circumstances beyond festival control such as severe weather or safety concerns may cause delay or cancellation. Booth fees are non-refundable.
